Who we are
This website is run by The Clifton Estate Holdings Ltd (company number 13661277), registered office 37 Comfrey Drive, Morpeth, Northumberland, NE61 3FN, which is the controller of personal information collected through it. Where your enquiry relates to a particular group company (for example a supported housing scheme or a rental home), that company may also become a controller of your information. ICO registration number: [ICO registration no.].
Contact for data protection questions: steven@thecliftonestate.co.uk, or write to us at the registered office.

- Emails: the content of your message and your contact details.
- Technical information: our hosting provider automatically records limited technical data (such as IP address, browser type and pages requested) in server logs to keep the site secure and working.
Why we use it and our legal basis

Who we share it with
- Our website host, Netlify, which hosts this website and processes form submissions on our behalf.
- Our email and IT providers, which store our correspondence.
- Professional advisers (solicitors, accountants, surveyors) where needed to take your enquiry forward.
- Other group companies where your enquiry relates to them.
- Regulators, law enforcement or courts where the law requires it.
International transfers
Netlify is based in the United States, so form submissions and server logs may be processed outside the UK. Where this happens we rely on appropriate safeguards recognised under UK law, such as the UK Extension to the EU–US Data Privacy Framework (where the provider is certified) or the UK International Data Transfer Addendum. [Check and confirm Netlify’s current transfer mechanism before launch]
How long we keep it
- Enquiries that do not lead to further dealings: up to [2 years] from our last contact.
- Where an enquiry leads to a transaction or contract: for the length of the relationship plus six years.
- Form submissions are deleted from Netlify once they have been transferred to our own records, normally within [90 days].
Cookies
This website does not set any analytics, advertising or social media tracking cookies, and it does not load fonts or scripts from third parties, so there is no cookie banner. Our hosting provider may use strictly necessary technical measures to deliver the site securely and protect the form from spam; these do not track you across other websites. If we add non-essential cookies in future we will update this notice and ask for your consent first.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. To use any of these rights, contact us using the details above. We will reply within one month.
Complaints
Please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint.
Changes to this notice
We will update this notice if the way we use personal information changes. The date at the top shows when it was last updated.
